Ontrac Express serves registered business customers only. We do not offer shipping services to individual consumers.

When you open a shipper account, courier account, or submit a quote request, we may collect:

- Contact person’s name, email address, and phone number
- Business address and pickup locations
- Login credentials for shipper and courier portals
Shipment information
To process and track shipments, we may collect:
- Sender and recipient names, addresses, and contact details
- Shipment contents, weight, and package details
- Customs documentation, invoices, and compliance or regulatory data required for international dispatch
- Tracking numbers and delivery-status history
Location information
The Ontrac Express App, particularly when used by couriers, may collect precise GPS location data while in use to enable routing and navigation, provide real-time shipment tracking, and record proof-of-pickup and proof-of-delivery locations. Location access can be managed through your device settings; disabling it may limit tracking and delivery features.
Device and app usage information
- Device type, operating system, and unique device identifiers
- App version and crash or diagnostic logs
- Push-notification tokens used for shipment-status alerts
- General usage data such as features used and session activity
Camera and media
If the App includes barcode or label scanning, or proof-of-delivery photo capture, we access your device camera only when you actively use that feature. Captured images are used solely for shipment verification and delivery confirmation.
Website server logs
Our website server automatically logs standard technical data such as IP address, browser type, pages requested, and date and time to maintain site security and diagnose issues.
2. How we use information
We use collected information to:
- Create and manage shipper and courier accounts
- Process, dispatch, clear customs, and deliver shipments
- Provide real-time tracking and proof of delivery
- Communicate shipment updates, quotations, and account notices
- Meet applicable regulatory, customs, and compliance obligations
- Improve the reliability and security of our website and App
- Respond to customer-support inquiries
We do not sell personal information to third parties.
3. How we share information
We may share information with:
- Airline and logistics partners necessary to move and deliver shipments internationally
- Customs and regulatory authorities as legally required for cross-border shipments
- Service providers supporting operations such as hosting, app infrastructure, and payment processing, under confidentiality obligations
- Legal authorities if required by law, regulation, or valid legal process
We do not share information with unaffiliated third parties for their own marketing purposes.
4. Data retention
We retain personal and shipment information only as long as necessary to fulfil the purposes described in this policy or as required by customs, tax, or other applicable regulations. When no longer needed, information is securely deleted or anonymized.
5. Your rights and choices
Depending on your role, you may request access to, correction of, or deletion of your personal information; opt out of non-essential communications; and disable location or camera permissions through your device settings. Disabling permissions may limit App functionality.
